How do you send proposals to your clients?

Hey there! 👋

In our advertising agency we send a lot of proposals to our clients. It's well designed and personal. Usually the proposal consists of two parts: the presentation (with logic of service, about agency, cases and etc slides) and the media plan (with channels, budgets, results and etc).

We send proposals just in email and don't know about what happen with it. Did the client open and read (and which parts) it? Did the client like it? All of this are hidden.

And I don't like the way itself with sending tons of files in emails, downloading them and forwarding them further.

May be your know some the best way to send proposals and communicate with clients? Please write it :)

    Great question! We like using Docsend: https://www.docsend.com/

    This lets you get the analytics/data on what people look at most in your proposals (what information they spent the most time on). Also, it protects the documents from being forwarded - you can only access them by typing in an email (this allows you to know if it was opened and read)

      Can the client see all docs just in docsend's space? On its videos docsend's space looks like Google Drive's folder

        Also, I wouldn't mention this if it weren't relevant, but the SaaS platform I'm building (https://kahana.co/) allows you to upload unlimited PDFs and notes into a hub and share with a single link. It isn't meant for e-signatures, but it does definitely allow for sharing a bunch of docs in a single space for people to see!

    I never send proposals that elaborate.

    I find most people just see them and say 'no' because of the effort involved in evaluating the proposal.

    What has worked for me is single page proposals because usually what clients care about are: how long will it take; how much will it cost; and what they are going to get.

    Nailing all three of those in a quick read or glance makes negotiating so much easier.

    I also get the added benefit of not having to sink a ton of work into a prospect whom won't close.

      Yeah, it sounds really good (and we implement it to our clients who sells for a small checks) but for marketing and development services with checks about $500,000 per contract I don't know how can I close the deal without detailed presentation (with CJM, roadmap and etc).

    When you say that you are sending them "personal" proposals, what does that mean? You hint in the next sentence you give them a presentation and a media plan.

    If you want to get replies, all you need to to is give them a blueprint of how what you offer is applied to their business and no other and hand it to them. Most likely, they will hire you to execute it, because who else could do it better.

    If you are just telling them what YOU do an offer, that doesn't tell them how it translates to THEIR bottom line. Show them what to do, exactly how it should be done and tie it in with social proof, and you will know they read it due to all replies and call backs 💪

      Oh, we're reacting to some requesting from our potential clients. They set a task and we prepare the solving their task by our personal (it means for their task) proposal and media plan. And I need to online service where I can effectively show this for our clients or where our clients can view it withour any downloads and etc.

    You could use some mail-sending service (like Mailchimp or Sendinblue) to track email status. It should show you if the email was opened if received, clicked on links, or even if it bounced.
    The problem here is that it may need some technical knowledge, but I do think that there are a lot of services that would offer precisely what you need - you just need to take some time researching it on google

      I don't need email tracking because I don't want to send a lot of files by emails. It's really inconvenient.

    Just a question: Why can't you use some proposal software or tool that can track the email interactions?

        While i haven't used any personally i have heard and read about these options --Proposify, Bidsketch, and PandaDoc. While i see you have come across the 3rd one. These tools not only track client engagement, but also provide analytics on proposal views, time spent on each page, and which sections are most engaging to clients.

        And there is something called as client portals as well, which i came across right now , you could check those out too-- ClientFlow, MyCase, and Clinked.

    It depends on the customers you're targeting, but we have seen the worst-case scenario at 2%. Targeting customers effectively matters, as does your main heading and presentation when a user opens the email you sent to them.

    What has worked for us in the past is directly integrating an infographic image into the main email and using just a few lines of text. In this way, recipients truly understand what we want to convey and what they will get in return.

    I hope you understand my point: avoid long paragraphs in your email.

    We use PandaDoc. This lets us track opens and time spent on the proposal. We also put our pricing right on the cover. We want no one to be surprised about the cost.

    After we send it we schedule a follow-up to talk with them about it.

      Oh, thanks. Can I add to PandaDoc my format of proposal (don't edit or create it in PandaDoc's editor) with 2 or 4 different files (pptx, xlsx)? And can the client view it without downloading?

      Just about to recommend PandaDoc. It tracks opens every time and logged it to the signed certificate if your client eventually accepted the proposal. It also act as an actionable item for the viewer to sign the proposal.

    Interesting, it seems like there are several platforms for agencies to send out proposals. I'm curios though, are there any desirable features that are missing from the existing solutions?

    We've used Bonsai for proposals for a couple years. It's pretty flexible and gives notifications when a proposal is viewed. Same for invoices and contracts. You can schedule invoices too which is nice at the beginning of an engagement.

        You can create a full custom proposal (in text) instead of using one of their templates, and still use their viewing/approval features. I've actually have done multi-option proposals for clients even, allowing the client to select one. If what I understand by media plan, I would think so, but if it's something that needs to be super-visual proposal I'm not sure if you can do embeds.

        Their other features are also pretty customizable, I usually had my own contract language. Probably the only small negative were the invoice features are geared towards hourly billing. It wasn't a big deal to do other styles, ie, I do per sprint and sometimes project pricing, but seemed like hourly is who they're catering to.

        Any tool that let's you know when clients have viewed communication, can do invoice scheduling, and automate payment reminders is well worth it in my book. Took one of my least favorites aspects out of my hands, and clients seemed to like it.

          Usually we use as a proposal the personal presentation for the client in pptx or pdf and the media plan (it's a forecast for budgets, marketing channels, results and etc) in xlsx.

          I and my team want to stay in that full designed by ourself presentation format because it's hard (sometimes impossible) to make it in the new editor. And for Excel format I doubt about existing some editor.

          I just want to find some online service:

          1. where I can put the proposal (and where can the client download it from)
          2. where the client can view the proposal without downloading (as I think it saves a lot of time)
          3. and, may be, where the client can make some comments or leave some questions

            Oh yeah, I doubt Bonsai could handle that rich of a proposal.

            We're typically doing the more media rich presentation in the pitch phase, and our proposals are more itemizing and being explicit with what the client is paying for.

            I wonder for your use case if a design handoff/proposal service would work. I think Invision has one. Your 3 asks seem to be inline with some of those. Often they can handle a visual rich document, viewable online and in mobile, allow comments, and a signoff. The only point I'm not sure about is download, and a spreadsheet wouldn't be interactive...

    I have started using Craft for all proposals - just sending potential clients a link. That gives me some analytics on when it's been viewed and for how long. Also what document links were followed. It's not perfect but it works pretty well in my limited experience. Can embed files as well.

        It more or less is, I just use it to make proposals now rather than doing it elsewhere. I don't use it for any contract signing or anything, but it's very nice for putting together a good-looking proposal.

    I used to use Dubsado but lately I haven’t been sending proposals as I changed my business model to not need them anymore! I will say Dubsado has a nice 1-pager solution for Proposal / Contract / Invoice to start a project.
